Guidelines for Proceedings
These are the guidelines on how to prepare and upload camera-ready material for an accepted paper in the ISSEP’25 full/short papers track. Note that the deadline for submitting camera-ready material is 16th June AoE. Authors who fail to meet this deadline will not be able to get their papers included in the proceedings.
Step 1: Updating the paper content for the camera-ready version
Please prepare the camera-ready version of your paper according to the following guidelines:
- Incorporate the changes proposed by the reviewers.
- Make sure you de-anonymize the paper and that you include the ORCID of each author.
- For included images: make sure you use either vector graphics whenever possible (avoid taking screenshots of graphs, for instance), or high-resolution bitmap graphics.
- Note that the page limit is strict: 12 for full papers, 8 for short papers, including references. An optional appendix of maximally 2 pages may be added. Please note that if your paper includes an appendix, it should be placed in front of the references. If your submission currently goes over that limit, please shorten it to make it fit within the prescribed number of pages.
- Use the Springer LNCS template available here exclusively (the same as for your initial reviewed submission).
- Please respect Springer's Instructions for Authors document, in particular, see Section 4 “Preparation of Your Paper”.
Step 2: Preparing camera-ready material in the required format
Please prepare the following files as part of the camera-ready material:
- Camera-ready PDF file: This is the PDF file corresponding to the camera-ready version of your paper.
- Camera-ready source file: This is a .zip file containing the source used to prepare the camera-ready PDF. Please prepare the source as a single Latex or Word file, and also include any additional dependencies (e.g., images, .bib file, .bbl file, and style files). Please make sure that the submitted source can be compiled to generate the camera-ready PDF.
- [Only applies for Springer proceedings] Camera-ready license file: This is a license to publish associated with your accepted paper. The corresponding author of each paper, acting on behalf of all of the authors of that paper, must complete and sign a License-to-Publish form, to be uploaded together with the final files for the paper.
Step 3: Uploading camera-ready material via EasyChair
Please upload the files prepared in Step 2 via EasyChair using the following steps:
- Login to EasyChair in the role of author and go to the page associated with your paper.
- Click “Add files” on the top right corner.
- Click “camera-ready PDF file” to upload the camera-ready PDF file for your paper.
- Click “camera-ready source file” to upload the camera-ready source file for your paper.
- [Only applies for Springer proceedings] Click “camera-ready license file” to upload the camera-ready license file.
Note that the deadline for submitting camera-ready material is 16th June AoE. Authors who fail to meet this deadline will not be able to get their papers included in the proceedings.
